A sponsorship letter is used when someone else is paying for your trip — typically a parent funding a student, a relative abroad inviting family, or a company sponsoring an employee's business travel. Consulates treat sponsored applications the same as self-funded ones, but the financial documents shift from the applicant to the sponsor. This guide covers who can sponsor, what the letter must contain, and a tested template.

Who can sponsor your visa application?

  • Parents or siblings — Most common for students and young travellers
  • Spouse — Common when one partner handles finances
  • Company — For business travel, a company letter substitutes for a personal sponsorship letter
  • Relative living abroad — Invites and often also sponsors family visits (e.g., aunt in the US inviting nephew)
  • Host/friend abroad — Less common but acceptable with sufficient documentation

What the sponsor must provide

  • Signed sponsorship letter — Original, on plain paper or letterhead
  • Bank statements — Sponsor's last 6 months statements showing the funds
  • ITR — Sponsor's last 2-3 years ITR
  • Proof of relationship — Birth certificate, marriage certificate, Aadhaar/passport showing same family name
  • Sponsor's employment / income proof — Salary slips or business registration
  • Sponsor's passport or ID copy
  • If sponsor is abroad: Proof of visa/residence status in that country

Common mistakes

  • Not attaching proof of relationship
  • Sponsor's bank balance too low to credibly fund the trip
  • No details about the sponsor's income or employment
  • Generic letter with no mention of specific dates or destination
  • Sponsor is a distant relative with no recent contact history (raises credibility questions)

Notarisation — do you need it?

Most consulates do NOT require the sponsorship letter to be notarised. A plain signed letter plus supporting documents is sufficient for Schengen, UK, Canada, and Australia. Germany sometimes requests a notarised "Verpflichtungserklärung" when a German host is sponsoring — this is the host's obligation letter from the German side, not from India. The US does not formally recognise sponsorship letters; B1/B2 applicants answer questions at the interview instead.

Frequently asked questions

?Can my parents sponsor my visa application?
Yes. Parents are the most common sponsors, especially for students, young travellers, and housewives. The sponsor must submit their own bank statements (6 months), ITR, and proof of relationship along with the signed sponsorship letter.
?Can my friend abroad sponsor my visit?
Yes, for most Schengen countries, UK, Canada, and Australia. The friend sends an invitation letter + their immigration status proof + proof of address + bank statements. Some countries (Germany, Austria) may require a notarised obligation letter from the host side.
?Does the sponsorship letter need to be notarised?
Not for most consulates. Schengen, UK, Canada, and Australia accept a plain signed letter plus supporting documents. Germany may require a notarised "Verpflichtungserklärung" from the host side.
?Can a company sponsor my visa for business travel?
Yes. Business travel sponsorship uses a company letter instead of a personal sponsorship letter. It should state the purpose of the trip, confirm the company is paying all costs, and include the employee's details. Submitted on company letterhead, signed by a senior manager.
?How much should the sponsor's bank balance be?
The sponsor's balance should be at least the applicant's target balance for the destination (see /tools/bank-balance-calculator). A good rule of thumb: sponsor's savings should cover the full trip cost + 2-3 months of ongoing family expenses.
